Outlook Calendar Integration

Connect Outlook Calendar to PepoSmart to synchronize your schedule and prevent double-bookings.

Prerequisites

  • A PepoSmart account
  • A Microsoft 365 account with Outlook Calendar access

What This Integration Does

  • Prevents double-bookings: PepoSmart checks your Outlook calendar for conflicts
  • Adds bookings to your calendar: New appointments appear in Outlook automatically
  • Removes cancelled bookings: Cancelled appointments are deleted from Outlook

Connecting Outlook Calendar

  1. Log in to your PepoSmart account
  2. Go to Integrations
  3. Find Outlook Calendar and click Connect
  4. Sign in to your Microsoft account
  5. Grant the requested permissions
  6. Select which calendars to check for conflicts

Note

Outlook Calendar and Microsoft Teams use separate authorizations. Connect both if you need calendar sync and Teams meetings.

Managing Calendar Settings

Calendar choices live in Availability → Calendar settings (the Open Calendar settings button on the Outlook Calendar integration page takes you there). From there you can:

  • Connect more Outlook or Google accounts (up to 6 in total)
  • Choose which calendars in each account are checked for conflicts
  • Choose the one calendar new bookings are added to
  • Block booked times on your other accounts' calendars

Blocking Booked Times on Your Other Calendars

If you connect more than one account, each booking is added only to your calendar to add events to, so your other calendars would still show you as free. Tick Also block booked times on this account's primary calendar on an account and PepoSmart adds a private Busy (PepoSmart) event to its default Outlook calendar for every booking — no invitee, title or meeting link, and no invitations sent. It's removed or moved when the booking is cancelled or rescheduled. See Calendar Settings for the full details.

Disconnecting Outlook Calendar

  1. Go to Integrations
  2. Click Disconnect on Outlook Calendar

This disconnects every Outlook account you've connected. To remove just one, click the X on that account in Availability → Calendar settings.

Warning

After disconnecting, your Outlook calendar won't be checked for conflicts.
