Setup Wizard

The Setup Wizard is a short, guided walkthrough that appears the first time you sign in to PepoSmart. It asks a few quick questions and, when you finish, sets up your working hours and creates your first bookable event automatically — so you can share a booking link right away instead of building everything from scratch.

A progress bar at the top shows how far along you are (“Step 1 of 5”), and you can move Back or Continue between steps at any time. You're never locked in — the choices you make here can all be changed later from the dashboard.

The Steps

1. How did you hear about us?

A quick question to start. Pick one of the options, or choose Other to type your own answer. This is optional and just helps us reach more people like you — your answer is saved as you continue to the next step.

2. How will you use PepoSmart?

Choose the way you plan to work. This decides whether the wizard shows a team step next:

  • One-on-one meetings — just you. The wizard sets up your availability and a personal booking page.
  • Team meetings — you'll invite teammates and share events across the team.

You need to pick one before you can continue, but you can switch how you work anytime.

3. Invite your team (team option only)

This step only appears if you chose Team meetings. Enter a teammate's email address and click Send to email them an invite. You can:

  • Tick the Admin box to invite someone with admin permissions
  • Click Add another to invite more people, or Send all to send every filled-in row at once
  • Skip it entirely — you can always add teammates later from the Team page

Invited teammates can host events, and admins can also view meeting notes. For more on roles and shared events, see Teams.

Note

Inviting teammates requires a paid plan. If you're on the free plan, you'll see a heads-up on this step — you can still continue through onboarding and upgrade later to send the invites.

4. When are you available?

Set the recurring hours people can book you. The wizard fills in sensible defaults so you can move fast:

  • Timezone — detected from your browser automatically; change it if it's wrong
  • Working days — Monday to Friday are selected by default; tap any day to toggle it on or off
  • Hours — a start and end time (9:00 to 17:00 by default) that apply to every working day

These are just starting hours to get you booked quickly. You can fine-tune everything later — per-day time slots, buffers, date overrides, holidays, and more — on the Availability page.

5. Where will you meet?

Choose a default location for your first event. Your options are Google Meet, Zoom, Microsoft Teams, Phone call, In person, or Ask the invitee.

If you pick a video option (Google Meet, Zoom, or Teams), the wizard shows a Connect button right there. Connecting opens a popup to sign in to the provider; once it's linked, a green banner confirms that meeting links will be created automatically for every booking. Google Meet needs both Google Calendar and Meet access, so you may see a button for each.

Tip

Connecting your video app during onboarding means meeting links are added to every booking automatically — no manual copy-and-paste. See Google Meet for exactly what access it needs and how the link creation works.

Finish

Click Finish on the last step and PepoSmart sets everything up for you:

  1. Creates a Working Hours schedule with the timezone, days, and hours you chose
  2. Creates your first event — a 30-minute meeting using your chosen default location
  3. Marks onboarding as complete and drops you on your dashboard, ready to share your booking link

You can edit or delete that first event, add more events, and change its location anytime from the Events & Booking page.

Note

If you chose a video location but didn't connect the integration, your first event is still created — its location is set to “Ask the invitee” instead. Once you connect the video app in Integrations, you can switch the event's location and links will be added automatically from then on.

Skipping and Finishing Later

You don't have to complete the wizard in one sitting. Click Skip for now at any point to jump straight to your dashboard. If you skip, a Finish setting up prompt stays on your dashboard so you can pick up onboarding again whenever you're ready. It disappears once you complete the setup.

Skipping is safe: if you've already set your own hours on the Availability page before coming back, finishing the wizard won't overwrite them.
