Plans & Billing
PepoSmart offers five plans: Free, Starter, Professional, Business, and Enterprise. Every paid plan is a team plan billed per user (per seat) through Stripe, and every paid plan starts with a 12-month free trial. Your bill is simply the plan price multiplied by the number of active members on your team (the owner plus every accepted teammate), and it updates automatically as people join or leave.
Start for free, no card required
The Free plan lets one person schedule unlimited meetings and try AI meeting notes on 2 recordings. Upgrade when you need teammates, advanced integrations, or AI recording credit packs — and every paid plan is free for its first 12 months.

12-Month Free Trial
Starter, Professional, and Business each begin with a 12-month (365-day) free trial when you subscribe through Stripe Checkout from the Billing page. You get the full plan from day one; the only thing that waits is the bill.
- A card is required at checkout, but the first charge happens only when the trial ends — 12 months after you subscribe.
- Cancel anytime during the trial and you are never charged.
- Per-seat billing still applies after the trial. Each teammate on your team is one seat, so the first invoice is your plan's per-user rate multiplied by the number of active members at that point.
- The trial is for new subscriptions. Switching plans or billing intervals on a subscription you already have does not start a new trial.
- The Free plan stays free forever — no card, no trial, no expiry.
Not the same as the setup-wizard team trial
If you chose Team meetings in the Setup Wizard, PepoSmart also grants a short 14-day, no-card trial of Professional team features so you can invite teammates right away. That is a separate, automatic perk. The 12-month free trial described here starts only when you subscribe to a paid plan from the Billing page.

AI Recordings & Credit Packs
An "AI recording" is one meeting where our bot joins to record, transcribe, and analyze the conversation. The allowance is the same on every plan:
- Every plan (Free, Starter, Professional, Business, and Enterprise) includes 2 AI recordings for the lifetime of the account. This is a one-time allowance — it does not reset each month and it does not grow when you upgrade.
- Need more? Buy an AI recording credit pack from the Billing page. Credit packs are available on any paid plan (Starter, Professional, Business, or Enterprise); Free accounts need to upgrade first.

How credit packs work:
- Shared across your team. A pack bought by the owner is drawn on by every member's recordings.
- Used automatically. Once the 2 included recordings are used up, each new AI recording consumes one credit — there is nothing to switch on.
- Only charged on success. A credit is consumed only after the AI notetaker is successfully booked for a meeting. If the bot can't be scheduled, nothing is deducted.
- 30-day validity. Unused credits expire 30 days after purchase, so buy a pack sized for the month ahead.

Team Seats & Per-Seat Billing
Every paid plan is a team plan. There is no seat cap on self-serve paid plans — add as many teammates as you like, and each one adds a single billed seat to your subscription.
- Free: 1 seat (owner only). To invite teammates, upgrade to any paid plan.
- Starter, Professional, Business: unlimited seats, billed per active member.
- Enterprise: unlimited seats.
Your billed quantity equals the number of active members — the owner plus every teammate who has accepted their invite. When a member joins or leaves, PepoSmart automatically syncs the seat count with Stripe and prorates the change, so you are only ever billed for the people actually on your team. Adding teammates changes your bill
Because billing is per seat, inviting a teammate on a paid plan adds one seat at your plan's per-user rate, prorated for the current period. Removing a member reduces the seat count on the next sync. During the 12-month free trial the seat count is tracked the same way, and it sets the size of your first invoice when the trial ends.
Managing Your Subscription
Everything below is done from the Billing page in the app. Billing runs on Stripe, so payment details, invoices, and cancellations are handled through Stripe's secure checkout and billing portal.
Choosing Monthly vs. Annual
Each paid plan is available billed monthly or annually. Annual billing charges once per year at a lower effective per-user monthly rate (for example, Starter is $6/user/mo monthly or $5/user/mo when billed annually). Pick the interval on the Billing page before you start checkout, and you can switch intervals later.
Upgrading or Switching Plans
- Go to Billing in the app
- Choose the plan you want and select monthly or annual billing
- Click to upgrade / switch:
- No active subscription yet: you are taken to Stripe Checkout to enter payment details and confirm. Your 12-month free trial starts immediately, and the card you enter is not charged until it ends. Promotion codes are accepted at checkout.
- Already subscribed: the plan or interval switches in place on your existing subscription, with proration applied automatically — no new checkout needed, and no new trial.
- After checkout you are returned to the Billing page, where your new plan, trial end date, and seat count are confirmed
Fix a failed payment before switching
If your most recent payment failed (a past-due subscription), update your payment method through Manage billing before changing plans. In-place plan switches are blocked while a payment is outstanding.
Managing Payment Method & Invoices
Click Manage billing on the Billing page to open the Stripe Billing Portal. From there you can update your card, download invoices and receipts, and manage the subscription directly.
Cancelling
- Go to Billing
- Choose to cancel your subscription
- Your plan is set to cancel at the end of the current billing period— you keep full access until then, and you are not charged again. If you cancel while still in your 12-month free trial, you keep access until the trial ends and are never charged at all.
Resuming a Cancelled Subscription
If you cancelled but the billing period has not ended yet, you can undo it. On the Billing page, choose to resume your subscription — the scheduled cancellation is removed and billing continues as normal.
No access lost when you cancel
Cancelling never cuts you off mid-period. Your paid features stay active through the end of the period you already paid for (or the end of your free trial), and you can resume any time before it ends to keep the same subscription.
Frequently Asked
When am I first charged?
At the end of your 12-month free trial, 365 days after you subscribed. Stripe charges the card you entered at checkout for your plan's per-user rate times your active seats (monthly or annual, whichever you picked). Cancel before then and nothing is charged.
What happens to my data if I downgrade?
Your scheduling, bookings, and history remain. Features tied to higher tiers (such as CRM sync, payments, email marketing, or buying AI recording credit packs) become unavailable, and any teammates beyond the new plan's allowance lose access until you are within the plan's limits.
Do I get more AI recordings when I upgrade?
No. Every plan includes the same 2 lifetime AI recordings; they never reset and there is no monthly allowance on any plan. What a paid plan unlocks is the ability to buy credit packs, which are shared across your team and valid for 30 days from purchase.
Am I billed for teammates who have not accepted yet?
No. Only active members count toward your seat quantity — the owner plus teammates who have accepted their invite. Pending invitations are not billed.
