What is PepoSmart?

PepoSmart is a scheduling platform that helps you manage appointments and meetings. It integrates with video conferencing tools (Zoom, Google Meet, Microsoft Teams) and calendars (Google Calendar, Outlook) to automate your scheduling workflow.

Is PepoSmart free?

PepoSmart offers a free tier with basic features. Premium plans are available for advanced features like team scheduling, meeting notes, and additional integrations. Visit our pricing page for details.

What browsers are supported?

PepoSmart works best on modern browsers including Google Chrome, Mozilla Firefox, Microsoft Edge, and Safari. We recommend keeping your browser updated to the latest version.

Authorization & Permissions

Why does PepoSmart need access to my calendar?

Calendar access allows PepoSmart to check your availability and prevent double-bookings. It also enables automatic creation of calendar events when bookings are made.

Why does PepoSmart need access to create meetings?

This permission allows PepoSmart to automatically create Zoom, Google Meet, or Teams meetings when someone books an appointment with you, eliminating manual setup.

Can I revoke access later?

Yes, you can disconnect any integration at any time from the Integrations page in PepoSmart. You can also revoke access directly from your Zoom, Google, or Microsoft account settings.

Is my data secure?

Yes. We use industry-standard encryption for all data transmission and storage. Access tokens are encrypted using AES-256 encryption. We only request the minimum permissions necessary for our features to work.

Scheduling

Can I set different availability for different events?

Yes, you can create multiple availability schedules and assign them to different events. This allows you to have different hours for different types of appointments.

How do I block specific dates?

Use Date Overrides in your Availability settings to block specific dates or set custom hours for particular days. You can also add holidays to automatically block those dates.

Can invitees book in different timezones?

Yes, PepoSmart automatically detects the invitee's timezone and displays available times accordingly. Both parties receive confirmations in their own timezone.

What happens if I need to cancel a meeting?

When you cancel a meeting, PepoSmart automatically notifies the invitee via email, removes the calendar event, and deletes the video meeting link.

Integrations

Can I use multiple video conferencing tools?

Yes, you can connect multiple video platforms and choose which one to use for each event. Different events can use different video conferencing tools.

Do I need to connect a calendar?

While not required, connecting a calendar is highly recommended to prevent double-bookings and automatically add events to your schedule.

What if my integration disconnects?

If an integration disconnects (due to password change, token expiration, etc.), you'll see it marked as disconnected. Simply reconnect by clicking Connect and re-authorizing.

Emails

Can I customize confirmation emails?

Premium plans include email customization options. You can add your branding and customize the message content.

How do I unsubscribe from PepoSmart emails?

Booking confirmations and reminders are transactional emails related to your appointments. Marketing emails include an unsubscribe link at the bottom. You can also manage email preferences in your account settings.

Why didn't my invitee receive a confirmation email?

Check that the email address was entered correctly. Ask them to check spam/junk folders and add our sending address to their contacts. Some corporate email filters may block automated emails.

Meeting Notes

What are meeting notes credits?

Meeting notes is a feature that records and transcribes your meetings. Credits are used to pay for this service. The number of credits required depends on the meeting duration.

How do I get more credits?

You can purchase additional credits from the Billing page in your PepoSmart account. Various credit packages are available.

Who can see my meeting recordings?

Only you and authorized team members can access meeting recordings and transcripts. Recordings are not shared with invitees unless you explicitly share them.

Account

How do I delete my account?

To delete your account and all associated data, please contact support. We will process your request within 30 days.

Can I export my data?

Yes, you can export your booking history and other data. Contact support to request a data export.

How do I change my email address?

You can change your email address in Account Settings. You may need to verify the new email address before the change takes effect.
